Microsoft has two versions of Outlook for Mac, the current one and legacy Outlook for Mac. The steps are close, but the menu names differ, so both are below.
Create a signature in Outlook for Mac
- On the Outlook menu, select Settings.
- Under Mail, select Signatures.
- Select Untitled and rename it, or select + to add a new signature and type its name.
- Type your signature in the Signature editor, or paste one you've made. Select text first to change its font, size or colour.
- Under See more items (...) you can add a photo or logo, a link or a table.
- Close the Signatures window when you're done.
Use it on every email
You set a default signature for each mail account:
- On the Outlook menu, select Settings, then Signatures under Mail.
- Under Set default signature, choose the account.
- Pick a signature for For new messages and one for For replies or forwards.
- Close the Signatures window.
If you have more than one account, repeat this for each.
Change a signature
Go to Outlook > Settings > Signatures, select the signature under Signature name, select Edit, make your changes and close the window.
To add one to a single email instead, click in the body of the message, select Signature on the ribbon and pick it. If the ribbon has no Signature button, Microsoft says you can add it by customising the toolbar.
Legacy Outlook for Mac
The steps are almost the same, but Signatures sits under Email in Settings, and you double-click Untitled to name a signature. To add one to an email, use Signature on the Message tab. Under Choose default signature, set it for each account.
Microsoft set October 2026 as the end of support for legacy Outlook for Mac, so it's worth moving to the current version.
Paste in a formatted signature
Outlook's editor can format text and add pictures, but building a neat layout there takes a while. Fill in the generator below instead, press Copy signature and paste it into the Signature editor. It's a simple table with inline styles, so the layout stays as it is.

Outlook or Apple Mail?
Outlook for Mac and Apple Mail keep separate signatures. If you use both, add the signature in each. Apple Mail's are under Mail > Settings > Signatures; see our Apple Mail signature guide. For Outlook on Windows or the web, see how to change your Outlook signature.

Questions
How do I set my email signature in Outlook for Mac?
On the Outlook menu, select Settings, then Signatures under Mail. Add a signature with the + button, name it and type or paste it into the editor. To use it automatically, set it under Set default signature for each account.
Why can't I choose a signature in Mail on my Mac?
That's Apple Mail, not Outlook. In Mail, a signature created while All Signatures is selected has to be dragged onto an account before you can choose it. See our Apple Mail signature guide.
How do I insert my signature on a Mac?
In Outlook for Mac, click in the body of your email, then select Signature on the ribbon and pick one. You may need to select See more items (...) first. If there's no Signature button, you can add it by customising the toolbar.
