Outlook signature disappeared

Your signature usually hasn't been deleted: you're in a different version of Outlook, on a different device, or it's no longer set as the default. Open the signature settings for the Outlook you're using now, check it's there and set for new messages and replies, and recreate it if it isn't.

Go through these checks in order.

1. You switched to new Outlook, or a new computer

Microsoft makes several versions of Outlook, and they don't all share signatures:

  • Classic Outlook for Windows stores signatures on the device where you created them, Microsoft says, so they may not be there when you use Outlook on another computer.
  • If you use Outlook and Outlook on the web with a Microsoft account, Microsoft says you need to create the signature in both.
  • Outlook for iOS and Android has its own signature under Settings > Signature.

So a move to new Outlook, a new laptop or the web can look like the signature vanished. Open the signature settings where you are now:

  • New Outlook and Outlook on the web: Settings > Accounts > Signatures.
  • Classic Outlook for Windows: File > Options > Mail > Signatures.

If it isn't listed, recreate it there (see the end of this guide for a quick way).

2. It isn't set as the default any more

A signature can exist but not be added automatically.

  • In new Outlook and on the web, under Settings > Accounts > Signatures, check the boxes for adding it to new messages and to replies and forwards.
  • In classic Outlook, under Choose default signature, pick it in the New messages and Replies/forwards lists. (none) means no signature.

Defaults are per account. If you have more than one account in Outlook, choose the one you're sending from before you check.

3. You only see it on new emails

If the signature appears on new emails but not on replies, the Replies/forwards default is set to none, or the replies checkbox is off. Set it the same way as above.

4. You just created it

Classic Outlook doesn't add a new signature to the email you had open while creating it. It starts with your next email. To add one by hand, select Signature on the Message tab and pick it.

5. You're sending from your phone

The Outlook app uses its own signature. Set it under Settings > Signature, or turn on Per Account Signature for one per account. See Outlook signature on iPhone.

Get it back in a minute

If you have to recreate the signature, don't rebuild it line by line in Outlook. Fill in the generator below, press Copy signature and paste it into the signature settings. Keep this page bookmarked: the next time you switch computers or versions, you can make it again in seconds. Nothing you type is saved, so note your accent colour if you change it.

Questions

How do I get my Outlook signature back?

Open the signature settings for the Outlook you're using now: Settings > Accounts > Signatures in new Outlook and on the web, or File > Options > Mail > Signatures in classic Outlook. If it isn't listed, recreate it there and set it as the default for new messages and replies.

Why isn't my email signature showing up in Outlook?

Usually it isn't set as the default for new messages or for replies and forwards, or you're in a different version of Outlook from the one where you made it. Check the defaults for the account you're sending from.

Why does Outlook keep deleting my email signature?

Moving between classic Outlook, new Outlook, the web and the mobile app is the usual cause, because each can have its own signatures. Keep a copy of your signature so you can paste it back in quickly.

Where did my signatures go in Outlook?

In new Outlook and on the web they're under Settings > Accounts > Signatures. In classic Outlook they're under File > Options > Mail > Signatures and, Microsoft says, stored on the device where you made them.
