The steps are the same in Outlook for iOS and Outlook for Android. Here's what to type, and why your desktop signature doesn't show up on your phone.

Set your signature in the Outlook app

  1. Open the Outlook app and go to Settings.
  2. Under Mail, tap Signature.
  3. Type your signature.
  4. If you have several accounts, switch on Per Account Signature, then enter a signature for each.

Your signature is used on the emails you send from the app from then on.

Why your Outlook signature isn't showing on your phone

The Outlook app has its own signature setting, separate from the signature screens in Outlook on your computer and on the web. If the app shows no signature, or an old one, set it there. Microsoft's steps for the app are about typing a signature, so keep the mobile one short: your name, role and one way to reach you.

Classic Outlook for Windows keeps its signatures on the computer you made them on, Microsoft says, which is another reason they don't follow you to other devices.

iPhone Mail is a different app

If you read your work email in the iPhone's built-in Mail app rather than Outlook, its signature is under Settings > Apps > Mail > Signature. Tap Per Account to set one for each account. Apple says Mail signatures on iPhone can only be text, so pictures and logos won't work there.

Your full signature on your computer

Keep the formatted signature, with your logo and colours, for Outlook on your computer and on the web. Make one with the generator below, press Copy signature, then paste it into Settings > Accounts > Signatures in new Outlook or Outlook on the web.

The Compact layout above puts everything on one line, which is a good model for the short version you type into the app.

Images in signatures on mobile

When someone reads your email in Outlook for iOS or Android, images download automatically unless they or their IT admin have turned on Block external images. If that's on, they tap the banner at the top of the email to see them. A signature that still makes sense without its image is the safest choice.

Questions

How do I get my Outlook signature on my iPhone?

In the Outlook app, open Settings, tap Signature under Mail and type your signature. The app has its own signature setting, so set it there even if you already have one in Outlook on your computer.

Can I have a different signature for each account in Outlook mobile?

Yes. In Settings > Signature, turn on Per Account Signature and enter one for each account.

Why does my Outlook signature look different on mobile?

The app's signature is set separately, so it's often a shorter, plainer version. Emails you send from your computer keep your full signature, and the reader's app decides how it's shown on their phone.

How do I add an email signature on my iPhone's Mail app?

Go to Settings > Apps > Mail > Signature and edit the text. Tap Per Account to set one for each account. Apple says Mail signatures on iPhone can only be text.
