VAT invoice generator: what to know

This page starts the invoice generator for this case. For every option and how to use it, see the invoice generator.

What makes it a VAT invoice

A VAT invoice is an invoice from a VAT-registered business that shows the VAT charged, with the details a VAT-registered customer needs to reclaim it. A plain invoice asks for payment; a VAT invoice also proves the tax. That's why it carries your VAT number, the rate on each line and the VAT total.

Here, the heading reads "VAT invoice", the tax is named VAT, and the tax number boxes are labelled VAT number. Set a rate on each line. If lines have different rates, the invoice shows the VAT for each rate separately, which is the breakdown both the EU and HMRC ask for.

Numbering and the date of supply

A VAT invoice number has to be unique and follow a sequence, such as 2026-0041, 2026-0042. After you download one, "Start the next invoice" moves to the next number for you.

If you supplied the goods or services on a different day from the invoice date, write that date in the notes. The note starts with "Date of supply:" for this reason; delete it if the dates are the same.

Questions

What's the difference between an invoice and a VAT invoice?

A VAT invoice is issued by a VAT-registered business and shows the VAT: your VAT number, the rate and amount of VAT, and the totals with and without it. Your customer needs it to reclaim the VAT. If you aren't VAT registered, you send an ordinary invoice with no VAT on it.

What is a VAT invoice number?

Usually the invoice's own number, which must be unique and sequential. It's different from your VAT registration number, which identifies your business and goes next to your name.

Can I make a Chinese VAT invoice (fapiao) here?

No. In China, VAT invoices go through the tax authority's own system. Ask the seller to issue one. This tool makes ordinary PDF invoices.

What if I charge sales tax, not VAT?

Pick Sales tax as the tax name instead of VAT. The heading, rates and totals work the same way; change the heading to "Invoice" too.
