Consulting invoice template

This consulting invoice bills your time by the day, with half days where you need them. Change the engagement, days and day rate, then download the PDF for your client.

Free, no sign-up. Made with our free invoice generator, which runs in your browser.

What's included

  • Columns for Days and Day rate instead of quantity and unit price
  • Three sample consulting services: interviews, a written report and a half-day workshop
  • Fractions of a day (1.5, 0.5), multiplied out to the cent
  • A reference to the engagement letter and the client's purchase order number
  • Payment terms of 30 days, and bank transfer details

How to change it

  1. Set your day rate on each line. Lines can have different rates if you charge more for some work.
  2. If you bill by the hour, switch the units to Hours: the columns become Hours and Rate.
  3. Replace the PO number in the notes and the payment reference with the one your client gave you.

Questions

How should I describe consulting services on an invoice?

Name each piece of work in words the client will recognise from the proposal or engagement letter, with the days or hours spent. Vague lines like "consulting" are more likely to be queried.

Should I include the purchase order number?

If the client gave you one, yes. Many finance teams can only match and pay an invoice that quotes their PO number.

Can I bill a retainer instead?

Yes. Switch the units back to Quantity, add one line such as "Monthly advisory retainer, October 2026" with quantity 1, and add any extra days as separate lines.
