Contractor invoice template

A sample invoice from an independent contractor billing one milestone of a project, plus calls and an expense. Change the client, milestone and amounts, then save the PDF.

Free, no sign-up. Made with our free invoice generator, which runs in your browser.

What's included

  • Your name as the contractor, with your address and email, and your client's accounts payable contact
  • A milestone line, so the client can match the invoice to the agreement
  • A recurring line (weekly calls) priced per call
  • An expense passed on at cost, with a note that the receipt is attached
  • 30-day payment terms and a note saying when the next milestone will be billed

How to change it

  1. Put your own name or business name in the From box, and the client's billing contact in the To box.
  2. Rename the milestone to match your agreement, and change the price to the agreed amount.
  3. Change the due date with the payment terms: 30 days is set, but you can pick any number of days.
  4. If you bill by the hour or the day instead, switch the units so the columns read Hours and Rate, or Days and Day rate.

Questions

What should an independent contractor put on an invoice?

Your name or business name and contact details, the client's name and address, a unique invoice number, the invoice date and due date, what you did with a price for each item, the total, and how to pay you. Referring to the agreement or purchase order helps the client approve it quickly.

Can I invoice by milestone?

Yes. Put one line per milestone, named the way your agreement names it, and invoice each one when it's done. Use the notes to say what comes next.

How do I add expenses I paid for the client?

Add a line for each expense at the amount you paid, and say in the description that it's at cost. Keep the receipts, and attach copies if the client asks for them.
