What's included
- A unique invoice number and the invoice date
- Your name and the business name you trade under, with an address for legal documents, as GOV.UK asks of sole traders
- The customer's company name and address
- A clear description of each service and the date it was provided (the supply date)
- The amount for each line and the total owed, in pounds; no VAT, with a note saying you're not registered
How to change it
- If you trade under your own name only, put just your name in the From box. If you use a business name, keep both.
- If you're a limited company, use the full company name as it appears on your certificate of incorporation.
- Once you register for VAT, use the UK VAT invoice template instead: it adds your VAT number, the tax point and VAT on each line.
Questions
What must a UK invoice include?
GOV.UK lists a unique identification number, your company name, address and contact information, the name and address of the customer, a clear description of what you're charging for, the supply date, the invoice date, the amounts charged, VAT if applicable, and the total owed.
What do sole traders need to add?
GOV.UK says a sole trader's invoice must also show your name and any business name you use, and an address where legal documents can be delivered to you if you use a business name.
Do I need to charge VAT?
Only if you're VAT registered. GOV.UK says you must register once your taxable turnover goes over £90,000 in 12 months. Below that, leave VAT off; registered businesses use a VAT invoice.
