What's included
- The heading "Quote", a quote number and today's date
- A validity date 30 days after the quote date, so your client knows how long the price holds
- Your details and your client's, with an optional tax ID for each
- Three sample line items with sample prices, and the total worked out for you
- Deposit terms and a note on what the price covers and how to accept
- A PDF download, made in your browser, with your logo if you add one
How to change it
- Replace the sample business and client details with yours and your client's.
- Edit the line items and prices, or add and remove rows. The total updates as you type.
- Change the validity date to suit the job: 14 or 30 days is common for a fixed price.
- Set your currency and tax, add your logo and download the PDF. Keep the quote number so you can match the invoice to it later.
Questions
What should a quote include?
Citizens Advice tells customers in England to look for a fixed total price, a breakdown of the work and materials, separate costs for each part, how long the price is valid for, whether it includes VAT, and when the price can go up. A quote that covers all of these is easier to say yes to.
Is a quote legally binding?
In England, Citizens Advice says that once the customer accepts a quote it is a binding agreement, whether it's written down or not. The trader can only charge more for extra work the customer asks for or agrees to, or to correct a genuine mistake in the price. Rules differ elsewhere, so check where you work.
Can I get this quote template in Word, Excel, Google Docs or Pages?
No. This template makes a PDF, which any client can open, print and keep. To change a quote, edit it here and download a new PDF.
How do I send a quote by email?
Download the PDF and attach it to your email. Put the quote number and the job in the subject line, say in one or two lines what the price covers and how long it's valid, and ask the client to reply to accept.
