What's included

  • A unique sequential number and the date of issue
  • Your full name, address and VAT number, and the customer's full name, address and VAT number
  • A description and quantity of the services, with the unit price excluding VAT
  • The date of supply, as it differs from the invoice date
  • The VAT rate and amount (0 here) and the words "reverse charge"

How to change it

  1. For a sale in your own country, set your country's VAT rate on each line and delete the reverse charge note.
  2. Replace the sample VAT numbers. You can check an EU VAT number in the Commission's VIES service.
  3. Bill by quantity instead of hours: switch the units back to Quantity.

Questions

What must an EU VAT invoice include?

The European Commission lists: the date of issue, a unique sequential number, the supplier's and customer's full names and addresses, the supplier's VAT number, the customer's VAT number if they are liable for the tax, a description and quantity of the goods or services, the unit price excluding VAT, the date of supply if different, the VAT rate and amount, and a breakdown of VAT by rate or exemption.

When do I write "reverse charge" on an invoice?

When the customer is liable for the VAT instead of you, for example on many services to a business in another EU country. The Commission says the invoice must then carry the words "reverse charge". Check the rules for your supply.

Is this a UK VAT invoice?

No, this one follows the EU rules. For a UK VAT invoice, use the UK template, which follows HMRC's list.

Does each EU country have its own VAT invoice rules?

The VAT Directive sets the basic EU-wide rules, and some areas are left to each country. The Commission points to its Tax Information Communication database for each country's provisions.
