Free, no sign-up. Made with our free invoice generator, which runs in your browser.

What's included

  • A sequential invoice number, the invoice date and the time of supply (tax point)
  • Your name, address and VAT registration number, and the customer's name and address
  • A description, quantity and unit price on each line, with the VAT rate and the amount excluding VAT
  • The total excluding VAT, the VAT total in sterling, and the amount to pay
  • Sample VAT numbers marked (sample), for you to replace with real ones

How to change it

  1. Replace the VAT numbers with yours and your customer's. Check a customer's number before you rely on it.
  2. Change the tax point in the notes to the date of supply, if it's different from the invoice date.
  3. Set a different VAT rate on any line that isn't at the standard rate. The invoice lists the VAT for each rate.
  4. If you offer a discount for paying early, say what rate it is in the notes: HMRC asks for the rate of any cash discount offered.

Questions

What must a UK VAT invoice show?

HMRC's VAT Notice 700/21 lists: a sequential number, the time of supply, the date of issue, your name, address and VAT registration number, the customer's name and address, a description of the goods or services, the quantity, unit price, VAT rate and amount excluding VAT for each, the total excluding VAT, the rate of any cash discount offered, and the total VAT in sterling.

When do I have to issue a VAT invoice?

GOV.UK says you must use VAT invoices if you and your customer are both VAT registered.

What's the UK VAT rate?

GOV.UK gives the standard rate as 20%, which this template uses. Some goods and services have a reduced rate of 5% or a zero rate, so set each line to the rate that applies.

Can I issue a simplified VAT invoice?

HMRC allows a simplified invoice for supplies of £250 or less including VAT. It needs fewer details, and exempt supplies can't be on it. Above £250, issue a full VAT invoice like this one.
